How to Keep a Replacement-Part Record for a Small Dairy
A simple parts record helps a small dairy connect a replacement request to the correct machine and assembly. It also prevents a similar-looking component from being ordered without a compatibility check.
1. Create one record for each machine
Record the machine model, the bowl or motor assembly, the voltage information shown on the unit, and the date the record was created. Keep this information with the machine rather than in an unlabelled parts box.
Use the replacement parts catalog as a visual reference, then compare the catalog entry with the installed component and the machine record.
2. Add an observation when a part is removed
For a bowl, disc, seal, outlet, fuse, motor component, or cleaning tool, record where the part was installed and why it was removed. Note visible cracks, flattening, dents, scratches, residue, leakage, unusual vibration, unusual noise, or a loose connection when observed.
A short note and a clear photo are more useful than a general description such as “old part”. Do not treat a visual similarity as proof that a replacement will fit.
3. Record useful measurements and markings
After cleaning and drying the part, record the dimensions that matter for its assembly: diameter, thickness, height, thread or connector details, and any permanent marking. For electrical parts, record the information shown on the existing component and machine label.
If a dimension is uncertain, label it as an estimate and ask for confirmation rather than presenting it as a final specification.
4. Keep the quotation request traceable
When contacting ANDUUK, send the machine record, photos, measurements, required quantity, and destination country or port. Ask the quotation to identify the confirmed model, part or assembly, quantity, and included documents.
Compatibility, availability, shipping method, timing, and commercial terms should be confirmed for the specific order. Keep the quotation and any inspection documents with the same parts record.
